Pebble makes life easier for The London Ballet Company

Founded in 2010, The London Ballet Company was originally focused on providing performance opportunities for professional dancers. But the founder, Sophie Wright, soon saw chances to offer quality training earlier in dancers’ lives, launching holiday intensive programmes, an associates programme and a TLBC dance school in Wimbledon, London.

A family business

Sophie’s sister, Bethany Wright, then came on board as TLBC’s Clubs Director. “The original idea was to offer after-school clubs as a way of bringing more kids into the TLBC dance school. But they took off in their own right, and we now offer a whole range of dance styles under the TLBC umbrella,” Bethany explains.

As their after-school clubs gained popularity, the admin hours started to stack up for Bethany. The unavoidable human errors did, too. “The amount of times we’d end up with a wrong phone number, then if a club was cancelled we weren’t able to let the parent know… looking for a better software solution was about time management, really, and accuracy as well,” Bethany says.

In December 2023, she made the switch to Pebble. “My brother also runs kids’ sports clubs and he recommended Pebble to me. Usually, I’m the one doing the research for these things but he really came through with this tip,” Bethany laughs.

“I was initially going to go with one of Pebble’s competitors, then I realised they were wildly overpriced. They did the same thing as Pebble, but their charges and their membership fee were sky-high. So when my brother told me about Pebble, it was a no-brainer.”

After-school clubs run better with Pebble

“Pebble’s really handy for the managing side of things,” says Bethany. “It’s so adaptable; you can make it work for whatever you need it to do.”

Easier sign-ups

Now she’s using Pebble, all Bethany has to do is send a booking link to each school, and they send it out to the parents. “I used to actually send a form for the parents to complete and scan over, and I’d input it all into Excel. It used to take forever. With Pebble, I don’t need to do any of that — I just set it up, parents sign up, and I send a register to our teachers. Done!”

Whole-term bookings

“This is one of the most valuable aspects of Pebble for me because parents can be pretty non-committal! But we need people to sign up for the whole term, or we can’t gauge our numbers properly,” Bethany shares. With Pebble’s block bookings, she can see when enough kids have signed up to make an after-school club viable, and how many teachers she’ll need for the term ahead.

Custom discount codes

“I’ve used these a lot,” Bethany says. “If a teacher is ill, I send a custom discount code to the parents because we owe them that session. That cuts down the admin time of organising refunds.”

Liaising with schools

“Depending on what the school wants to do and the number of kids who sign up, we’re flexible about how we group the ages,” Bethany explains. “Sometimes it’s years 1 to 6 together, then the teacher organises the dynamic so that the older children can demonstrate and buddy up with the younger ones. Or it’s split by age group, as all the activities we offer cater for any age. It depends on the size of the school, too. If they think they’ll have a shedload of sign-ups, Pebble lets us easily split out the age brackets so we have manageable class sizes.”

Collecting accurate medical information

Having these fields in the Pebble sign-up flow has been “really helpful,” Bethany says. “Our teachers can see exactly what each parent has written, so we know what we need to if anything happens.”

Keeping school pick-ups safe

Some schools ask adults for a password when they arrive to pick up a child, so they can make sure the child is safe to leave with them. Schools can add this detail to Pebble, for seamless pick-ups at the end of TLBC sessions.

Looking ahead, Bethany wants to use more of Pebble’s finance tracking features, as well as the option to include tax-free childcare vouchers in the checkout flow. As for the bigger picture, her aim is “to be able to offer schools everything,” she explains. “They often use a lot of different providers for their after-school activities but if I have one platform that parents can click on and book everything, that’s the ideal setup.”

Alongside TLBC’s range of dance styles, Bethany manages after-school clubs for languages, gymnastics and cheerleading. And, teaming up with her brother, she wants to offer schools tennis and other ball sports, too. “So having Pebble as the platform for everything is the aim of the game,” she says.
