How Franchise-Ready Payments Actually Work for Football Providers

A missed payment at one site is nothing. Chase it, move on. Do that same chase at twenty sites, run by twenty different coaches with twenty different local bank setups, and it stops being nothing. It becomes the thing that actually breaks first when a football franchise scales, often before the coaching, before the branding, before anything else on the checklist.

Why payments break first as a franchise grows

98% collection rate. 70% for other software providers in the children’s activity space. Twenty-eight percent, and at one site that's barely worth mentioning: chase a couple of late payers, done by Friday. Multiply it by twenty sites and the gap doesn't add, it compounds. Now the franchisor has no single view of who's actually paying. Royalty reconciliation turns from a report into an investigation. Every location is running its own quiet version of the same chase, without knowing anyone else is doing it too.

Most of what franchise operators complain about traces back to this. Spreadsheets standing in for a system. Inboxes standing in for reporting. Numbers that live in twenty different heads instead of one dashboard.

What "franchise-ready" payments actually means

Not a working payment button. That's table stakes. Franchise-ready means subscriptions, customer credits, and reporting that operate at the network level, not stitched together per site by whoever's covering admin that week.

Soccer Stars Academy is worth looking at here, mostly because the features Pebble built for them weren't generic tasks. Subscription handling. Customer credit functionality. Both shipped because a 22-location football franchise said, specifically, this is what we need to run a network, not a single pitch.

"Getting our feedback to you guys to then get that installed into your roadmap, it is literally a conversation that we have," says Siobhan, co-founder of Soccer Stars Academy.

Which matters more here than it would for most features. A booking calendar barely changes whether you're running one site or fifty. Payment infrastructure that holds up cleanly across franchisees, with one collection number the franchisor can actually trust, is a much narrower problem. Most children's activity software was never built to solve it.

What reliability looks like day to day

Leigh Harris runs one of the Soccer Stars Academy franchises. Before Pebble, his pre-session routine meant scrolling through every date on a child's booking history just to mark them present. On Pebble it's a tick. In, or not in. That's it.

Small thing. But it's the same thing that shows up in payments when the system underneath actually holds. Nobody at head office should be manually chasing royalty numbers for the same reason Leigh shouldn't be scrolling through bookings at the door: the infrastructure is supposed to do that work quietly, in the background, so the humans can do something else.

The switching objection

Every franchise operator thinking about switching systems asks some version of the same question: what happens to our payments, our records, our subscriptions, during the move?

Before Soccer Stars Academy switched, Siobhan didn't sugarcoat it. "Initially, the thought of having to transfer all of our customers to Pebble was terrifying for us." Twenty-two locations. Coaches, parents, kids, all depending on a system that was about to change underneath them. Fair fear. Not a sales objection to wave off.

Then it happened. "What I will say is the guys at Pebble made it really easy, really seamless," she says. Zero disruption, across the whole network. And that, not how clean the demo looks for a brand-new single-site business starting from scratch, is the actual test of franchise-ready: can it take on something already running, at scale, without breaking it mid-transfer.

What to check before choosing a franchise booking system in the UK

For anyone evaluating a UK franchise booking system, payments infrastructure deserves a look before almost anything else. It's the hardest thing to fix once you're already committed.

  • Collection rate. Get an actual number. Not a description, a number.

  • Franchisor-level reporting. One dashboard, or twenty phone calls to twenty franchisees at month end?

  • Migration support. Has this provider actually moved an existing multi-site operation without breaking it, or only onboarded new businesses starting from zero?

Six months in, running 22 locations, Mark's answer was blunt: "My last software provider did really well and got me to a certain point. But for me to get to where I want to get to, I believe that Pebble is going to be the best provider for that."
